Role and Responsibilities Guidance For Cutover Weekend

Role  Responsibilities 

Strategic Commander 

  • Oversee and coordinate the Trust during the Cutover weekend. 
  • Make final executive/strategic decisions (based on Tactical Command Centre Reports)
  • Executive liaison with external stakeholders against internal progress (Legal Authorities, Senior Leadership Team from other Hospitals)

Tactical Commander 

  • Oversee and coordinate operational leads in relation to the Cutover weekend and downtime. 
  • Team up with Cutover Manager to
  • Report to the Strategic Command Centre

Senior Manager on Call (SMOC) 

  • Oversee and coordinate the Trust’s normal operational running, not disruptions or incidents related to Cutover weekend and downtime 

Digital Support Centre Lead 

  • Coordinating Floorwalking,
  • Managing issue resolution 
  • Report into Tactical Command 

Digital On Call 

  • To manage any issues outside of the Go Live 

Data Catch-Up / Transcribing Lead 

  • To coordinate transcribing for all clinical administrative areas 
  • Management of resources for transcribing  

Clinical Digital Support  

  • Provide expert digital clinical knowledge where required 

Cutover Lead  / Manager

  • Responsible for service preparedness within each department ahead of Go Live
  • Reports back progress through the Go Live Preparedness meeting  
  • Manage the technical aspects of cutover  

Workstream Lead 

  • Confirming their workstream is ready and prepared for Go Live
  • Signs off on Cutover activities for their workstream 

EPR Programme Manager (Hospital-side) 

  • Coordinate the programme resources
  • Manage the relationship between the Trust and EPR provider
  • Point of any escalations 

EPR Programme Manager (Provider-side)

 

  • Coordinate the EPR system resources
  • Manage the relationship between the Trust and the provider
  • Point of escalation on the provider side

    Nursing Lead 

    • Coordinate operational nurse-led services in relation to downtime. 

    Floorwalker & Superuser Lead 

     

    • Management of the floorwalking rota
    • Management of handover between shifts 
    • Management of superusers 
    • Pastoral support for floorwalking and the superuser team 
    • Chairing huddles during the Cutover weekend

    Superuser 

    • Master the new EPR system
    • Support users with day-to-day queries on the ground
    • Escalate issues where required through the service desk 
    • Attend huddles during the Cutover weekend

    Floorwalker 

    • Support superusers and users with issues where possible 
    • Escalate issues where required through the Digital support centre or service desk 
    • Attend huddles during the Cutover weekend
